In 2018 Phase 3 were contacted by a College group in Southern England with over 2000 employees faced disaster when the payroll manager and assistant both left without any prior notice.
The immediate plan was to involve an agency to cover the workload, but the group quickly realised finding a temporary resource with experience of their payroll product was extremely difficult.

The day after the initial contact they had a telephone call with Phase 3’s Head of Services and Lead Payroll Consultant. Phase 3 identified the immediate needs and concerns of the College Group and created an implementation plan for the business continuity service.
The payroll was due to be paid in less than a week and with a BACS lead time of 3 days only 4 processing days were available.
Phase 3 worked with the IT department to create remote access to the groups network to access the payroll system and information submitted by Employees, Managers and Finance.
The payroll process was agreed during a client onboarding call and the Phase 3 team stepped in to process the transactions.
Phase 3 processed over 300 transactions, accurately and quickly to ensure there was no delay to the employees receiving payment.

Following the initial payroll period the Head of service from Phase 3 met with the HR Manager and Finance Manager to develop a longer term strategy for managing payroll services.
The payroll consultants assigned to deliver the payroll for the group undertook a full ‘Health Check’ of the current payroll and a number of issues were discovered.
A short term plan to deliver the payroll for 3 months was agreed, whilst resolving the numerous issues with Teachers Pensions and Local Government Pensions as well as improving checking processes and accuracy. This lead to savings across numerous areas including reduced overpayments, and BACS transmissions costs.
